HOA Welcome Letter Template (New Homeowner)
The welcome letter is the cheapest, most effective compliance tool the board has. Most violations from new owners come from people who genuinely didn't know the rules — a clean welcome letter prevents that conversation a year later.
When to use
Send within 7-30 days of an owner closing on a property in the community. Most management companies will trigger this off the closing notice; self-managed boards can trigger off the recorder's-office notice or the assessment-roll change.
How to use this template

Personalise the salutation and the unit / lot reference. A form letter that opens 'Dear Homeowner' lands flat.

Link to (or enclose) the Declaration, Bylaws, Rules, and Architectural Guidelines. Owners are entitled to them; making them findable up front saves later headaches.

List the recurring patterns — paint colour, ARC approval, parking — that tend to cause new-owner violations.

Include the resident-portal link (or community-page URL) so owners can ask questions on their own.

Review with counsel before adopting if your state has new-owner disclosure requirements (Texas, Florida, and several others do). A defective disclosure can give a new owner rescission rights for a window after closing.
